SYNTHETIC DOCUMENTS / ILLUSTRATIVE RESPONSE

You

Where do I find the checklist for opening a new location?

Knowledge assistant

The example checklist covers connectivity, account access, equipment and opening-day checks. Confirm the current approved procedure before proceeding.

Source to review
Opening a location · example document

Synthetic example: confirm the site owner; review network readiness; verify approved account access; confirm equipment inventory; record opening-day checks. This is not a customer document or production output.

Review the source and its owner before using the answer.

This conversation illustrates the experience. No private documentation or live assistant is connected to this page.

THE BUSINESS NEED

Answers shouldn’t depend
on finding the right person.

When procedures live across internal pages, people spend time searching, repeating questions and checking whether information is current. A knowledge assistant can provide another route into that documentation, while retaining source review and access boundaries.

Ask naturally.

Start with the task or question, rather than needing to know the document title or navigation structure.

Return to the source.

Relevant documentation gives the user a place to verify the answer, its context and any exceptions.

Support repeatable work.

Opening checklists, internal IT procedures and onboarding guidance are candidate use cases when the knowledge is approved and maintained.

Respect information boundaries.

Identity, connector permissions and document-access mapping must be configured and tested. An assistant must not become a way around source permissions.

These are potential benefits, not measured savings from the prior implementation. Missing, stale or ambiguous documentation still needs human review.

RODRIGO’S IMPLEMENTED EXPERIENCE

Amazon Q Business.
Confluence knowledge.

Rodrigo deployed Amazon Q Business to production so teams could query internal Confluence documentation in natural language.

Business need

Make internal documentation accessible through everyday questions.

Role

Hands-on deployment and implementation, as confirmed by Rodrigo.

Evidence boundary

No customer identity, private documents, production screenshots or measured performance are published here.

The diagram below explains a simplified service interaction, not a disclosure of the customer’s exact topology, settings or security review. Source permissions and ingestion details must be verified for every new implementation.

IMPLEMENTATION AT A GLANCE / SIMPLIFIED ARCHITECTURE

From internal pages
to a useful conversation.

Internal pages, procedures and their source permissions.

02 / RETRIEVALConnector & index

Configured ingestion brings approved content into the search layer. Synchronization and access mapping require validation.

Not every answer is correct or complete. A new engagement must test identity and document permissions, connector compatibility, data freshness and answer quality before use.

WHERE THIS CAN HELP

Start with questions
your team already asks.

Internal IT

“Where is the approved procedure for requesting access?”

Business operations

“Which checklist applies when opening a location?”

Employee guidance

“Where can I find the onboarding instructions for my role?”

Knowledge retrieval answers questions about procedures. The Microsoft 365 Operations Assistant is a separate proposed solution for planning and later executing approved administrative tasks.

A SCOPED KNOWLEDGE IMPLEMENTATION

Make the content ready.
Then make the answers useful.

  1. DiscoverIdentify recurring questions, source owners and access requirements.
  2. PrepareReview content quality, identity and connector feasibility.
  3. ValidateTest answers, source references and restricted-document access.
  4. MaintainAgree document updates, feedback and operational ownership.

For a new customer, scope, platform licensing, implementation and maintenance costs follow a review of the environment. No fixed price or guaranteed time saving is implied by this experience case.
